The Barbecue Dilemma: Who Owes What?
So, here’s the situation…
You and your friends plan a barbecue.
- John brings the burgers.
- Emily picks up the beers.
- Carol buys the sodas and pickles.
- Jim grabs the fish (and spends a lot).
Everyone brings something, everyone pays something different, and not everyone consumes everything. For instance:
- Sam is allergic to fish.
- Carol doesn’t drink soda.
- Jim eats it all.
After the fun dies down and the grill cools off, the million-dollar question hits:
“Who owes who?”
You want everyone to pay their fair share, but it’s complicated. That’s where my Excel Expense Splitter Template comes in.
A Smart Expense Splitter Built in Excel
I created a no-code solution using nothing but Excel formulas — no macros, no VBA. It’s clean, smart, and works automatically.

This sheet builds all the possible combinations of “payer to payee” and calculates the exact transfer amounts needed to balance everyone out.

Just input your group’s names here once — the rest of the spreadsheet pulls from it automatically.
How Does the Expense Balancing Work?
Without getting too technical, here’s the magic:
- I use OFFSET, INDEX-MATCH, and array formulas like SORT and UNIQUE to dynamically populate data.
- The spreadsheet auto-generates all possible pairings and then smartly eliminates irrelevant ones (like someone paying themselves).
- It uses logical comparisons and simple math to calculate who owes and who gets paid.
