Create and Send Invoices in Minutes with the Excel Invoice Generator

Are you tired of wasting time formatting invoices from scratch, copying customer details from one file to another, or manually calculating totals, discounts, and taxes?

I was too — which is exactly why I built the Excel Invoice Generator.

As someone who’s been working with Excel for over a decade, I know just how powerful (and underutilized) spreadsheets can be. So when I needed a better way to manage my invoicing workflow, I decided to create a tool that would do all the heavy lifting for me — something clean, efficient, and customizable.

Today, I want to introduce you to this simple yet powerful invoice template that changed the way I bill my clients — and can do the same for you.

Why I Created This Template

I used to create each invoice manually — type the company info, update the customer details, calculate due dates, apply taxes, format the layout, and finally convert it to PDF. Sounds familiar?

After a few months of doing that, I realized: “I’m wasting time doing the same thing over and over.” So I took an afternoon, opened up Excel, and started building a smart invoice system that could:

  • Automatically pull customer details from a database
  • Calculate totals, discounts, and VAT instantly
  • Let me reuse the same layout over and over
  • Look professional when exported to PDF

That’s how this Excel Invoice Generator was born.

What Makes This Excel Template So Useful?

Let me walk you through how it works and why it’s designed to save you time every time you send an invoice.

🔹 Customizable Company Details

The top of the invoice lets you input your company name, address, registration number, phone, and email. Add your logo if you like — the layout adjusts automatically.

You also get a clean divider line that separates your business info from the customer and invoice sections. It’s all neatly formatted for a professional look, especially when exporting to PDF.

🔹 Dynamic Customer Selection

Instead of typing out customer details for each invoice, simply select the customer name from a drop-down list. Once selected, all related details — like phone number, email, and payment terms — are filled in automatically using built-in Excel logic (powered by VLOOKUP).

The customer data lives on a separate tab, so adding a new customer is as simple as adding a new row to the list. This makes the template future-proof and scalable.

🔹 Smart Date and Due Date Handling

The invoice shows today’s date by default. It then calculates the due date automatically based on the selected customer’s payment terms.

If no customer is selected, the due date remains blank — thanks to a clean IFERROR setup that prevents awkward “#N/A” errors.

🔹 Invoice Number and Message Field

You have full control over the invoice number field. Whether you use sequential numbers or custom codes like “May2024-ClientX,” it’s completely up to you.

There’s also a short text field where you can add a description, such as “Website design project” or “April 2024 services.”

🔹 Itemized Table for Products or Services

This is where you list your billable items:

  • Description
  • Quantity
  • Price
  • Total Price (calculated automatically)

It’s designed to look great and stay clean — rows that aren’t filled in remain blank and don’t clutter the design. There’s also built-in error handling, so you don’t get any distracting formula errors.

🔹 Built-In Discount and VAT Calculations

Need to apply a discount? Just enter the percentage — the subtotal adjusts instantly.

Charging VAT or sales tax? That’s covered too. You can change the rate as needed, and the total reflects the final amount due with taxes applied.

All formulas are editable, so if you use a different tax system, it’s easy to update.

🔹 Beautiful Print & PDF Export

Let’s be real: most invoices end up being exported to PDF and emailed to clients.

This Excel template was designed with that in mind. Every element is aligned, borders are clean, colors are professional, and nothing spills over the page margins. You can print directly or save as PDF from Excel in seconds.
